This Privacy Statement informs you of our privacy practices and of the choices you can make about the way your information is collected online and how that information is used. It is available on our home page and at the bottom of every Visiontech web page.
Scope of Policy
We are Visiontech Consulting Inc. ("Visiontech", "we" or "us"), an information technology company that provides responsive and functional IT software and hardware solutions for businesses, public-sector organizations, and institutional customers worldwide.
This Policy describes how Visiontech collects, uses and discloses personal information. We also explain the rights you have with respect to your personal information, and how you can contact us if you have any questions about our privacy practices.

Our sites and the services we provide are not intended for use by anyone under the age of majority (18 or 19 years, depending on your jurisdiction). Our sites and services are intended for business and institutional use and are not directed to children or minors. We do not knowingly collect personal information from minors except where such collection is authorized by a Visiontech customer and permitted by applicable law.
Collection of Personal Information
Personal information means any information about an individual from which that person can be identified. It does not include information where the identity has been removed (anonymized data), and there is no possibility of re-identification.
Information you give us (Submitted Information)
We collect personal information about you when you fill in forms on our sites www.VisiontechConsulting.ca, www.FACES2.com, www.FACES2AIScout.com, and any "Visiontech Consulting" domains and sub-domains, or services operated by us from time to time ("Our Sites"), or if you correspond with us (for example, by phone, e-mail, chat or forum discussions). This includes information you provide when you register to use our Sites, download software, subscribe to any of our services, search for a service, and when you report a problem with a product, our services, or our Sites. The information you give us may include your name, address, e-mail address, phone number, username, password, and any other submitted information. It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your relationship with us.
Our customers use our access control services, devices, and technology to verify the authenticity of their own customers' ID and to control access to their premises. We do not collect, use, or disclose any end-user personal information for our own purposes. If you submit personal information through one of our identity verification tools as an end user (such as through use of the FACES2 ID Authenticator app), Visiontech is collecting information about you on behalf of another entity.
The personal information submitted by you through the FACES2 ID Authenticator app (for example, a copy of your government-issued ID or photo selfies) is not retained by Visiontech, nor do we use this information for any purpose other than to provide services to Visiontech customers. This information is not sold or disclosed to third parties for their own independent purposes. It may be processed by contracted service providers or subprocessors solely to provide the identity verification service, subject to contractual privacy and security obligations. If a Visiontech customer wants to verify or authenticate the identity of an individual, the customer will invite that individual (as an end user) to download the FACES2 ID Authenticator app, and will provide the end user with a secure token to access and use the app. An end user is then taken through a step-by-step process in the app to upload an image of their government-issued photo ID and several selfies. A subprocessor then analyzes and compares the facial image and selfies on our behalf, and then returns to us a "confidence score" of the identity verification/authenticity. The confidence score and facial images collected via the app are the verification and authentication output provided to the customer. No facial images are retained by Visiontech. For the purpose of billing our customers, Visiontech retains only end-user names and ID type (i.e., "Canadian passport") for as long as the customer uses our services. For information on how your personal information is being collected, used and disclosed by Visiontech customers through use of our identity verification tools, you must review the privacy policy of the Visiontech customer that is collecting your information for verification purposes.
Information we collect automatically
Visiontech uses Google Analytics on its websites to collect user information by the use of site cookies. The following table describes each cookie set by gtag.js.

Each time you visit our sites we automatically collect the following information about your visit, including:
- the full Uniform Resource Locators (URL)
- clickstream to, through and from our Sites (including date and time)
- products you viewed or searched for
- page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number
- technical information, including the Internet protocol (IP) address used to connect your computer to the Internet
- browser type and version
- time zone information
- approximate geolocation
- operating system and platform
We use Google Analytics, a web analytics service provided by Google, Inc. ("Google"). Google Analytics may set cookies on your browser or mobile device or read cookies that are already there to collect information. Google Analytics may also receive information about you from apps you have downloaded that partner with Google. Google Analytics collects information about how you use Visiontech services. We use the information provided by Google Analytics to improve our services. Where required by law, we will obtain your consent before placing non-essential cookies or analytics technologies on your device as described here and in Google's privacy policy. You can manage cookies through your browser settings and through our Cookiebot cookie preference tool. You can control the information provided to Google and opt out of certain ads provided by Google by using one of the methods set forth in how Google uses information from sites or apps that use our services or the Google Analytics opt out browser add-on.
Use of Personal Information
Information you provide to us
We use personal information that you provide to us:
- to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;
- to provide you with information about other goods and services we offer that are like those that you have already purchased or enquired about. We will only contact you for this purpose if you have consented to us doing so. You have the right to withdraw your consent to marketing at any time by contacting us through our contact form, or by clicking the "unsubscribe" link in any email or following the direction provided in a text message you receive from us;
- to notify you about changes to our service; and
- to ensure that content from our sites is presented in the most effective manner for you and for your computer.
Information we collect about you
We also use your personal information:
- to administer our sites and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
- to improve our sites to ensure that content is presented in the most effective manner for you and for your computer;
- to allow you to participate in interactive features of our service, when you choose to do so;
- as part of our efforts to keep our sites safe and secure;
- to make suggestions and recommendations to you and other users of our sites about goods or services that may interest you or them. We will only contact you for this purpose if you have consented to us doing so;
- you have the right to withdraw your consent to marketing at any time by contacting us through our contact form or unsubscribing to marketing channels via the unsubscribe link in such communication;
- we send commercial electronic messages only where permitted by Canada's Anti-Spam Legislation or other applicable law;
- each marketing message will identify Visiontech and include an unsubscribe mechanism.
Biometric and identity verification information
Some Visiontech services may process identity documents, facial images, selfies, and verification results for the purpose of identity verification, fraud prevention, access control, or security. Visiontech does not use this information to train AI models, create unrelated profiles, or make it available for marketing purposes. Where Visiontech processes this information on behalf of a customer, the customer is responsible for obtaining any required consent from the end user.
For FACES2 ID Authentication and the FACES2 ID Authenticator app, this may include government-issued identity document images, document data, facial images, selfies, liveness or anti-spoofing checks, verification results, confidence scores, audit records, and limited billing records.
Where Visiontech processes identity verification information on behalf of a customer, the customer determines the purpose of the verification and is responsible for providing required notices, obtaining required consents, and responding to end-user privacy requests unless otherwise agreed in writing.
Automated Processing and AI
Some Visiontech products may use automated processing, computer vision, facial comparison, or artificial intelligence to support identity verification, access control, security monitoring, fraud prevention, or operational decision support. These systems may produce scores, alerts, or recommendations. Unless otherwise stated in a customer agreement, Visiontech does not use end user identity verification images or government ID images to train general purpose AI models.
We use your information in the following ways
We will only use your personal information for the purposes for which we collected it, or for a purpose that is compatible with the original purpose.
We may share personal information with affiliated entities where necessary to provide our products, services, support, administration, or legal compliance.
- In the event that we sell or buy any business or assets, we may disclose personal information to the prospective seller or buyer of such business or assets.
- If Visiontech Consulting Inc. or substantially all of its assets are acquired by a third party, personal information held about customers may be one of the transferred assets.
- We may disclose personal information where required or permitted by law, including to comply with legal, regulatory, court, or law enforcement requests; to enforce our terms, agreements, or policies; to protect the rights, property, or safety of Visiontech, our customers, users, employees, or others; or to help prevent, detect, or address fraud, security, or technical issues.
- We share personal information with vendors that access personal information to perform work for us, such as companies that assist us with web hosting, shipping and delivery, payment processing, customer service, and marketing and advertising.
- We share personal information with analytics and search engine providers that assist us in the improvement and optimization of our Sites.
Through contracts we have with third parties, we require all third parties to ensure the security of your personal information and to treat it in accordance with the law. We do not allow our third-party business partners or service providers to use your personal information for their own purposes, unless you have expressly consented to this, and only permit them to process your personal information for specified purposes and in accordance with our instructions.
Storage and Transfers of Personal Information
All information you provide to us is stored on our secure servers. Where we have given you (or where you have chosen) a password that enables you to access certain parts of our Sites, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.
We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used, or accessed in an unauthorized way, altered, or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal information on our instructions, and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal information breach and will notify you and any applicable regulator of a breach where we are legally required to do so. We use administrative, technical, and physical safeguards appropriate to the sensitivity of the personal information we process. No system is completely secure, but we maintain safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, and loss.
Note that personal information may be stored, accessed, used and otherwise processed inside and outside of Quebec and/or Canada. When personal information is located outside Quebec and/or Canada, it may be subject to laws that have different standards of protection and may allow for foreign law enforcement and governmental access.

Retention of Your Personal Information
We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorized use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and the applicable legal requirements. We will take reasonable steps to destroy or permanently de-identify personal information we hold if it is no longer needed for the purposes for which it was collected.
Where you do provide your consent for us to use your personal information for marketing purposes and/or to us disclosing your information to any third party for such purposes, you can withdraw that consent at any time by contacting us through our contact form.
If you withdraw your consent (or if you decide not to provide certain personal information), you acknowledge that we may not be able to provide you, or continue to provide you, with certain products, services, or information that may be of value to you.
Consent
By submitting personal information to us, or our service providers and agents, you consent to the collection, use, disclosure, and transfer of your personal information in accordance with this Privacy Policy and as permitted or required by law. You may withdraw your consent at any time to the collection, use, disclosure, or transfer of your personal information by contacting us through our contact form.
If you withdraw your consent (or if you decide not to provide certain personal information), you acknowledge that we may not be able to provide you, or continue to provide you, with certain products, services, or information that may be of value to you.
Our Role
For website visitors and direct business contacts, Visiontech is responsible for the personal information it collects and uses.
For end users who use identity verification tools at the request of a Visiontech customer, Visiontech generally acts as a service provider processing information on behalf of that customer. In those cases, the customer determines the purpose of the collection and use of the information.
Access and Correction
We will take reasonable steps to ensure the personal information we hold is accurate, complete and up-to-date. Upon your written request, and subject to certain exceptions provided by law, we will inform you of the existence, use, and disclosure of your personal information and give you access to that information. We may charge a minimal fee for providing such access to you.
If you believe that the personal information that we hold about you is not accurate or complete, you may contact us through our contact form. If you are able to establish that the information is not accurate or complete, we will take reasonable steps to delete and/or correct the information so that it is accurate, complete, and up-to-date.
If you are not satisfied with our response, you may have the right to contact the Office of the Privacy Commissioner of Canada or another applicable privacy regulator.
Time Limit to Respond
We will respond to all access requests in accordance with applicable law. Where a time limit extension is required, we will keep you notified of our progress.
